Start with the real friction
HIPAA is a programme of safeguards, not a video feature. For electronic protected health information, the Security Rule covers administrative, physical and technical safeguards. A video platform matters, but so do staff access, training, device security, policies and incident response.
Do not treat a joining link as a minor detail. When a client, patient or prospect must create an account, find an app store, allow an install and learn a new interface, every extra step creates another chance for the meeting to start late or not happen at all. - Risk analysis and documented policies for telehealth workflows

- Transmission security, device safeguards and workforce training
Avoid claims that a tool is “HIPAA certified”. HHS does not certify products as compliant. Ask what the vendor contract covers, then map your own settings and working practices to your risk assessment.
Set the host up for a smooth session
Send the link in a calendar invite, state the time zone and include one plain sentence on joining: “Open this link in a current browser a few minutes before we begin.” Ask guests to test their camera and audio early for important appointments. The host should open the room first, use a waiting room where appropriate, and keep a phone fallback ready for a rare connection failure.
That small bit of preparation protects the value of the meeting. It is especially useful when the conversation is personal, time-sensitive or part of a sales process. People judge the experience before the agenda has even started.
